What personal information we collect about you
When you register with us to find a property, we will collect personal information such as your name, your email address, your telephone number and mobile number, your postal address, you marital status, your gender and you date of birth.
When you request a viewing by filling in the form on our website, we will collect addition personal information such as your property requirements and the information you provide in the form.
When you enter in to a tenancy agreement, we will collect (in addition to the personal information described above) financial information, such as information about your assets, your bank details, credit report and transaction details about payments made from you.
We may collect sensitive (or “special category”) personal information relating to your health, for example whether or not you have a disability. We will only use this information with your consent, for example to determine whether certain of our properties may be suitable for you and for complying with health and safety requirements.
When you wish to make an enquiry by filling in the form on our website, we may collect personal information such as your title, your name, postal address and telephone number, your property requirements and the information you provide in the form.
When you contact us by any other means (e.g. email or telephone), we may keep a record of that contact and the information you provide us with at the time.

- When you enter in to a tenancy agreement with us, we will use Your Information to determine your eligibility, including your financial eligibility to rent our properties, and to carry out our obligations arising from the contract entered into between you and us;
- When we use sensitive (or “special category”) personal information, we will use it on the basis that you have given consent save where we use it for administration, audit purposes, regulatory and governance activities and compliance on the basis that we are legally required to do so;
- When you wish to make an enquiry by filling in the form on our website, we will use Your Information to provide you with information about our products and services;
- When you contact us by any other means (e.g. email or telephone), we will use Your Information to provide you with information about our products and services,

Where we store Your Information
Where we have given you (or where you have chosen) a password which enables you to access certain parts of our website, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Applicable to Portchester House Residents Only
Should you have an offer agreed in principle after a viewing (Subject to Contract and References) we will ask you to pay a £250 Holding Fee to register your interest and reserve your place in the property until you have signed a tenancy agreement. The Holding Fee will be returned within 15 days if the landlord decides not to take the tenancy forward. However, it will not be refunded if you do not have the Right to Rent under the Immigration Act, yo provide false or misleading information or if you change your mind or do not take all reasonable steps to enter into a tenancy agreement.
Once you have signed a tenancy agreement a Security Deposit of £250 will become payable and will be protected in the Government approved Tenancy Deposit Scheme (TDS www.tenancydepositscheme.com) for the duration of your tenancy.
